Most barcode scanner problems fall into a handful of categories: won't read, reads inconsistently, won't connect, or the battery's dying. Work through these before assuming the unit needs replacing.
Before troubleshooting further, always try a different, known-good cable, cradle, or battery — a surprising number of "scanner problems" are actually accessory problems.
Scanner won't read a barcode at all
Check for a dirty or scratched scan window first — wipe it with a soft, dry cloth. Confirm the barcode is printed clearly and isn't damaged, low-contrast, or too small. Using a 1D laser scanner on a QR or Data Matrix code will always fail — you need a 2D imager for those.
Scanner reads inconsistently or intermittently
Often a scan-angle or distance issue — adjust the angle and distance to the label. Can also indicate a worn scan engine or a low battery on cordless models. If it's new and consistent across labels that used to scan fine, the engine may be degrading.
Scanner won't connect (Bluetooth or cradle)
Re-seat the scanner in its cradle or base station and confirm the base has power. For Bluetooth, check it's paired to the correct host and the host's radio is on. A factory reset resolves many stuck pairing states.
Scanner beeps but doesn't transmit data
Usually means it read the barcode but isn't communicating with the host application — check the connection/interface mode (USB HID vs. serial vs. Bluetooth SPP) matches what the receiving software expects.
Battery drains fast or won't hold a charge
Batteries degrade with age and charge cycles like any rechargeable battery. If a battery a couple of years old is draining much faster than it used to, it likely needs replacing rather than indicating a device fault.
When it's time to replace, not repair
If a scanner has a cracked scan window, a failing engine, or is an older model no longer supported by its manufacturer, replacement is usually more cost-effective than repair.
